An e-mail contact for every team or Association is important.
The majority of communication is done electronically so having a current e-mail list allows for information to be sent out efficiently.
A
ssociations must provide signed copies (Head Coach) of the TRF to the Regional G&T Coordinator no later than the November Western Region meeting. The signature of the Head Coach indicates that he/she has verified the information contained on the TRF is accurate. Any 2-team agreements for a team must also accompany the TRF.
T
he division and playing level indicated on the TRF will be the "officially" recognized level for the team. Teams may be reseeded during the playing season due to on-ice performance, but until such time the team shall be defined by their TRF.

2-team agreement may only be entered into between a Regional level (B or C) and a Provincial level (AA or A) team. The 2-team player agreements MUST be signed by the Regional G&T Coordinator and must be submitted to the ORA office with the TRF by November 15th of the current playing season. The deadline for entering into a 2-team contract is January 8th, but no player may participate with a second team without a completed agreement. Western Region has determined that a maximum of 3 players from a single team may be under 2-team contract to another team. An A or AA team may be made up entirely of cross-signed players from multiple associations. Where extenuating circumstances exist the Region will consider making exceptions.

ll players, appearing on a team’s TRF, including 2-team players must be written on every game sheet. Those players not in attendance at a game are to be stroked off.
S
ubstitutions are explained in the Operating Manual (G&T section) and are to be approved by the Regional G&T Coordinator. Individual Leagues may also have rules governing the number of games a substitute may appear in.

ll A and AA teams MUST participate in the Western Region A/AA League in order to attend Prelims, qualify for a Wild Card position and represent the Region at either Provincials. The determination of which division(s) may be exempted from League participation will be made after the Associations have declared their teams for the coming season.

his season the Intent to Proceed to Provincials form has been reworked. The form will now include a team’s intention to seek a Wild Card placement should they not qualify as the Region representative. The deadline for these forms will be November 15th.
G
ame reports must be completed correctly and submitted promptly. This season all teams will be expected to do this electronically through the Region web site. Teams must submit Tournament results within 48hours of the end of a Tournament, whether this is in region, out of region or out of province.

ll Match and Misconduct Penalties MUST be reported to the Regional G&T Coordinator within 48 hours of the infraction. It is the responsibility of both coaches to relay this information. Major penalties should also be reported. Tracking these penalties allows the Region to be aware of any potential problems.

ournament Hosts have been sent their approvals for this season’s tournaments. The Hosts have been made aware of the deadlines for submitting the Pre-Tournament, Result Matrices and Post-Tournament packages. The results must be submitted electronically. A new Tournament Host Package is being prepared and should be ready by the beginning of October.
